How to collect data with Landscape Mobile 4
Whether you are gathering new information or updating existing work, Landscape Mobile 4 is designed to help you collect field data. This is done with Work Items. All Work Items can be edited in Landscape Mobile 4, while only a few categories of Work Items can be created and/or recorded in the field.
Work Items can be added or edited in the mobile app, but they can only be deleted from the web app.

Prerequisites
- You must have Landscape Mobile 4 downloaded on your mobile device.
- You must be added as a user in your organization's account and be assigned to at least one permission role.
The types of data you are able to see and/or edit in the mobile app are controlled by the permissions assigned to you in the in the web app. Read more about configuring permissions, HERE.
Getting Started
There are two ways to access work items in the mobile app: the Quick Create menu or the Work List. The same behavior and tools are available whether you create a Work Item from the Quick Create menu or the Work List — the difference is how you get there.
Use the Quick Create menu for a fast start to your fieldwork.
Tap the + Add Work button to skip the Work List and create one of seven Work Items, described below.
The Quick Create menu is what you will see any time you add a new work item from any context in the mobile app.
Start from the Work List if you need to add to an existing Work Item or if you need to review previous data prior to beginning your fieldwork.
The Work List displays all Work Items that you have permission to view. In a selected Portfolio Record, tap Work to open the Work List. Tap any Work Item Name to open it, or the plus (+) icon to create a new Work Item.

Work Item Functionality
Work Items can be in one or two of three states: Viewing, Editing, and Recording. You can also have multiple Work Items open at one time.
VIEWING
When you are viewing a Work Item, the available actions buttons are in the top right corner of the Work Item tray.

EDITING
More icons appear on the map when a Work Item is in the Editing state. These icons represent some of the available actions, while other actions are completed within the Work Item tray.
The Work icon (A) displays a red count badge indicating the number of Work Items that are in an Editing state. Tap on this icon to see and navigate amongst those Work Items.
Tap the checkmark (B) when you are finished with your changes. This action will also return you to the Work List.

*Adding a photo without recording creates a new photopoint at your current location.
Map Tools ("Add Geography")
Tap on Add Geography to complete one of the following actions:
- Draw an area — tap and drag your finger around the map to draw a polygon shape.
- Draw a line — tap on the map to start the line, and tap additional points to extend the line.
- Draw a point — tap on the map to drop a point, or use the option to drop a point at your current location.
Tap Save to save your changes or Cancel to exit.
RECORDING
Only Work Items that you can create in the + Add Work menu can be recorded. On Start recording, you can choose to track your route, time, or both. If you're editing a Work Item that already has a time entry, you will also have the option to add time to an existing entry.

Work Items in a Recording state are also always in an Editing state. Tapping Stop while recording will automatically end the Editing state as well.
Creating New Work Items
Seven types of Work Items can be created and recorded in the mobile app:

Creating a new Work Item will automatically place that item in an Editing state. Some items have special behavior upon creation.
SITE VISITS
- Select the Site Visit Type.
- Give the Site Visit a Name. The default Name is the Type followed by the date of creation [e.g., "Annual Monitoring 7/14/2026"].
- Select your recording options:
- Start Recording tracks both your route and your time. If this is toggled off, the other options are unavailable.
- Track Route gives you the option to track your location as you move around the map. Toggle this off if you do not want to track your movements.
- Track Time creates a Time Tracking entry for you. It also automatically updates the Start Time of your visit.
- Tap Create to begin your Site Visit and add it to the Portfolio Record's Work List. This action also enables several Editing tools. Tap Stop when you are finished.
SPECIES OBSERVATION - Single
- Select the species from the dropdown list.
- Select your creation options:
- Take photo immediately opens your camera upon item creation. This option also requires a dropped point at your location.
- Drop point at my location adds a point on the map upon item creation. If you decide the point needs a photo, you can still take one using the Add Photo tool.
- Tap Create to add this item to the Portfolio Record's Work List and to fill out other details. This action also enables several Editing tools. Tap Start if you want to add route and time tracking to the item. Tap Stop or the checkmark when you are finished.
SPECIES OBSERVATION - Multiple
- Tap the slider in the top right corner to switch from 'Single' to 'Many' species observations. You will be presented with the entire species list instead of a dropdown menu.
- Tap the plus (+) icon next to each species that you are adding and provide a count of how many of those flora/fauna you observed.
- Tap the green Create... button. This will create a single observation for each species you selected (not for each count), and bring you back to the Work list. Tap on any observation to open and edit them further.
ENCUMBRANCES, HUMAN USES, ISSUES, RESOURCES, OR TRACKED RIGHT ACTIVITIES
- Select the relevant Work Item Type.
- Give the Work Item a Name. The default Name is the Type followed by the date of creation [e.g., "Trespass 8/1/2026"].
- Select your creation options:
- Take photo immediately opens your camera upon item creation. This option also requires a dropped point at your location.
- Drop point at my location adds a point on the map upon item creation. If you decide the point needs a photo, you can still take one using the Add Photo tool.
- Tap Create to add this item to the Portfolio Record's Work List and to fill out other details. This action also enables several Editing tools. Tap Start if you want to add route and time tracking to the item. Tap Stop or the checkmark when you are finished.
