Merging duplicate contacts
You can use this method for cleaning up contact records that have been entered twice. This will ensure that any linkages between the contacts and other records will be maintained. For example, if you have 'Jane Smith' as a Landowner for one property, but 'Jane W Smith' as the landowner for another property, you could choose to merge the entries and so 'Jane W Smith' will automatically become 'Jane Smith' in the correct property.
Navigate to Data Viewer and select 'All Contacts' as the view. Use a filter to narrow down the list or scroll to the duplicate records you wish to merge.
Click on the check boxes next to the two records. Then click on the three dots at the top menu and select 'Edit Selected Results:
In the Batch Editing menu, change 'What do you want to do?' to 'Merge contacts'.
Choose the record you want to merge the contacts into. This will connect any records that are connected to the old contact to the new 'merged' contact.
Merging contact records will overwrite the 'name' fields of the non-merged-into contact with the merged-into contact. It will add the phone numbers, addresses, and email information to the new contact record. So it may be necessary to manually remove any duplicate information in those fields.
Merging contacts will not merge tags. So if you have a property record with 'Jane W Smith' added and tagged as the Landowner and 'Jane Smith' as the Grantor, merging both records into 'Jane Smith' will result in a record where the Jane Smith record will appear twice in the Contacts list. To fix this, simply add the extra tag to one of the records and remove the other superfluous contact record.
