Tracking multiple names for portfolio records with 'Alias'
If you have multiple names for a property, parcel, or group, like 'Smith Woods', 'Smith Farm', 'The Old Smith Place', 'Rocky Woods', etc., then you can use the 'Alias' field to capture these additional names without adding them to the official name of the record.
Enter the main name of the record as the record name. Then enter as many names as you want in the 'Alias' field, and separate each one with a semicolon. Users can search by any name in this field and they will be directed towards the correct record.
'Can I just change the name of the record?'
It is not recommended that you change the name of the record over time. For example, every time a new landowner acquires the property. It makes permanent record management extremely confusing for future stewards! Instead, feel free to use the alias field to tack on common names you're using, but stick with one name for the record.
